How recurring maintenance contracts work
Updated recently
Topic
Maintenance contracts set up recurring service across one or more of a client's sites — WorkshopMax creates the jobs automatically when each site is due, and can bill them together on one consolidated invoice.
Instructions
- 1Open the client and find Maintenance contracts (or the Contracts nav item).
Commercial clients show this prominently.
- 2Create a contract.
Name it, set the frequency (monthly, quarterly, 6-monthly, annually), the first visit date, and tick the sites it covers.
- 3Let jobs generate as sites fall due.
WorkshopMax raises the visit jobs automatically; you can also use 'Run due now' to generate them on demand.
- 4Consolidate the invoicing.
Choose individual invoices per visit, or a single consolidated invoice covering all completed visits so a head-office client gets one bill.
Additional Information
Each site tracks its own next-due date, so a contract can cover many locations on the same schedule.
Completed visits are stamped so they can't be billed twice on the consolidated invoice.
